Why This Job?
A Buyer Transaction Coordinator is responsible for assisting the Lead REALTOR® with the entire client purchasing experience from start to finish. The ideal candidate will excel in a fast-paced work environment, work well individually, will have the ability to manage multiple deadlines, and have impeccable organizational skills. Typical work hours are from home and flexible between 8am and 4pm, M-F.
What you’ll do:
- Process all buyer files as the transaction coordinator.
- Prepare a contact sheet in ctm.
- Send introduction emails to buyers, listing agent, lender, and title.
- Ensure all disclosures are received and sent to clients by deadlines.
- Ensure all contract dates/deadlines are met.
- Ensure inspection objection and inspection resolution deadlines are met.
- Ensure loan deadlines are met.
- Ensure title deadlines are met.
- Ensure HOA deadlines are met.
- Coordinate walk throughs and closings with all cooperating parties.
- Send out final walk through and closing calendar invitations.
- Use multiple communication attempts (email, phone, text) to obtain necessary signatures or missing documents from clients, agents, lenders, or other third parties.
- CC the assigned Agent and Team Lead on all communication via email and text to ensure transparency and support.
- Maintain accurate and detailed notes in CTM for each buyer transaction file.
- Direct all real estate-related questions from the client back to the assigned agent point of contact.
- Send calendar invites for walkthroughs, inspections, closings, and agent appointments.
- Assist the Agent in managing all dates and deadlines to ensure compliance and alignment with the contract, closing timeline, and lender/title requirements.
- Notify the assigned agent of any outstanding items, discrepancies, or errors that need to be addressed in order to keep the transaction on track for closing.
- Gather pertinent closing information from the listing side of the transaction, including utility provider details, trash service, mailbox location, garage access, lockbox/keypad codes, receipts and any other relevant details about the home's use that would be important for the buyer post-closing.
How you’ll do it:
- Work from home, as a 1099 contractor as a licensed Realtor.
- Hours may flex from day to day, week to week. Contract deadlines must be met. Must be available M-F, between 8am and 4pm.
- One year commitment is desired.
